Why rates vary even within one county
- Bale size, weight, and density: chamber time, tractor load, and material use differ. Name dimensions and target density; use the round-bale size guide and round-bale weight guide to make the description concrete.

Custom baling rate worksheet and formulas
A survey is a market check. Your records establish whether the job pays. Build the quote from six buckets so depreciation is not forgotten and fuel, labor, or wrap is not counted twice.
1. Annual ownership cost
Ownership costs continue whether the machines run today or not. Include depreciation, interest or opportunity cost on capital, insurance, and housing or machinery-storage cost. Allocate only the tractor and baler ownership used by the custom job. If those machines also serve the operator's own farm, dividing all annual ownership cost by custom bales would overcharge custom customers.
Annual straight-line depreciation = (purchase price − expected salvage value) ÷ years of economic life
Average capital invested = (purchase price + expected salvage value) ÷ 2
Ownership cost per machine-hour = annual depreciation + annual interest/opportunity cost + insurance + housing, divided by that machine's total annual use hours
Custom-job ownership allocation = (tractor ownership $/hour × tractor job hours) + (baler ownership $/hour × baler job hours)
Ownership cost per custom bale = custom-job ownership allocation ÷ billable custom bales
Calculate the tractor and baler separately using actual purchase value, expected life, financing or opportunity-cost rate, insurance, housing, and total annual hours across both owner-farm and custom work. If records are bale-based instead, first multiply each machine's annual ownership cost by its custom-use share—custom hours divided by total annual hours—then divide that custom allocation by custom bales.
2. Operating cost
Operating cost changes with use. Track fuel, lubrication, and repair/maintenance expense excluding depreciation. Do not add a vague tractor-or-baler "wear" allowance after depreciation and repairs are already counted. Use actual gallons, repair records, and billable output rather than a generic consumption or capacity claim.
Fuel cost per bale = actual gallons used for the job × delivered fuel price ÷ billable bales. If the operator quotes separate mowing, raking, and baling rates, assign fuel and repair/maintenance expense to each pass instead of burying all field work in the baler line.
3. Labor
Include operating time, setup, loading materials, road travel, waiting that the agreement assigns to the customer, and payroll burden where applicable. Count maintenance labor only when it is not already included in a dealer or repair-shop invoice entered under repair/maintenance expense.

Travel/setup per bale = job-specific travel, loading, setup, and cleanup cost ÷ expected billable bales.

Quote for a target gross margin = cost floor ÷ (1 − target margin rate)
A 15% markup is not a 15% gross margin. On a $20 cost floor, a 15% markup produces a $23 quote and a 13.0% gross margin. A true 15% gross-margin target produces $23.53. Name which method you use.

Sensitivity: what changes the quote?
- Smaller job: at 40 bales, the same $120 travel/setup cost becomes $3.00 per bale. The cost floor becomes $22.81 and the same 15% markup produces $26.23 per bale.
- Slower field: at 10 bales per hour instead of the hypothetical 16, labor becomes $2.50 per bale. With the original 80-bale travel allocation, the cost floor becomes $22.25 and the quote becomes $25.59 per bale.
- Customer supplies wrap: removing the hypothetical $1.25 wrap cost lowers the cost floor to $20.06 and the same markup produces $23.07 per bale. Confirm that the supplied material fits the baler and who pays for unusable or insufficient material.
If the resulting quote is far above the local survey, investigate rather than deleting cost categories. The difference may be old equipment with low ownership cost, neighbor pricing, higher annual utilization, a different service scope, or a market that will not support full cost recovery. A one-page written scope prevents most disputes. The customer and operator should each initial the responsibilities that apply.

A written agreement cannot make unsafe work acceptable. It should give the operator authority to stop when field, crop, weather, equipment, or people create an unsafe condition.
- Before service or clearing a plug: disengage power, shut off the engine, and wait for all moving parts to stop. Ohio State's hay-harvesting safety guidance also says not to hand-feed material into a running baler.
